Guidelines for Student Leaders of Clubs, Publications, & Activities
The Purpose of This Packet…
The purpose of this packet is to give student leaders important information they may need to help in assisting them in leading their clubs. Your faculty advisors have a similar packet. I hope this helps us all work from a common point. Please use this as a reference. There is information on bake sales, the budget, student rosters, clothes ordering, the Fair, and troubleshooting. I welcome any and all feedback.
I would really love to be more involved with what is happening with your activities, clubs, and publications throughout the year. If I have a clear concept of what is going on in the school, I can help you make things happen and that is what I am here to do. I look forward to seeing what all of your energy and hard work will produce this year! I plan to do this in two ways. First, I plan to attend meetings of the various clubs and organizations. Second, I plan to check with student leaders mid-year to discuss how things are going.
Thank you so much for all that you do for our school community as a leader. I am very excited to have the opportunity to work with each of you this year!
Bake Sales
What to do when you want to have a bake sale…
In order to have a successful fundraiser; here is what to do
Ask Mrs. Deevy in the kitchen about the date and time of the sale. Please plan ahead and ask early.
Remember, for a sundae sale, you must pay Mrs. Deevy $75 for the ice cream.
Request a cash box and change from Mrs. Skillman one week prior.
Have members bring in stuff to sell and publicize the event.
Fill out an Event Deposit Form (See Mrs. Skillman) & hand in money. Do not leave cash sitting around in your locker, homeroom, etc.
The Budget
Yes, your club has money…
At the beginning of each year, each club has a $50.00 budget they can use. Some clubs have rented movies, bought supplies for meetings, or financed activities they have planned. If you would like to use this at any point during the year, see Mrs. Skillman.
Student Rosters
Knowing who is in your club, activity & publication…
In order for a student’s transcript to accurately reflect her activities in the Upper School, rosters for each group must be submitted to both the Registrar and to the Director of Student Life. Attendance at meetings is required to be considered a member of the group. Please make sure you keep an accurate record of members’ attendance. Students are not allowed to be in more than one club that meets at the same time on the same day. Rosters are due at the beginning of each trimester. Rosters can be emailed to Mrs. Skillman. Attached is an attendance sheet you can use.
The roster deadline for fall term will be Wednesday, September 26
Technology Guidelines
You want to invite the middle school to your bakesale…
If you want to email a Chapin teacher regarding club business, be sure to cc your club advisor(s).
You may not directly email teachers at another school. Please craft the email with your faculty advisor and have him or her send it.
Guidelines for ordering personalized items
My group wants to order a sweatshirt…
Guidelines for Items ordered: NOTE: This is for Student Life groups only. For athletic ordering, see Ms. Caywood.
All items may be ordered in kilt colors only.
All items must be identifiable to Chapin, either with the word CHAPIN, the wheel, or gator.
All items must be identifiable to that club.
Each club may only order one item every two years.
A girl must be an active member of a club to order club clothing. She must be on that year’s roster.
Each girl may only order one of any particular item.
Any item may not cost more than $40.
No personalized items (i.e. individual names).
Ordering Procedure:
Submit a design for approval to Mrs. Skillman.
Find the price from the vendor.
Create a permission slip that contains Mrs. Skillman’s signature and a price. Permission slips will not be accepted on loose-leaf, or without the above.
Distribute permission slips to club members, and return the slips and final count to Mrs. Skillman.
Mrs. Skillman will order the items and bill the students.
Orders after April 15th will not be accepted.
The School Fair
What to do when you want a booth at the Fair…
If you want to have a booth at the Fair, here are some simple steps to follow:
Any money you need for your booth please try to raise it in the fall.
Tell Mrs. Skillman that your club would like a booth in early January.
You will need to fill out a FAIR EVENT REQUEST FORM –See Mrs. Skillman
Table space will be assigned on a first come first served basis.
There will be a packet of info for clubs/activities wanting booths at the Fair.
Troubleshooting
Help! What do I do when…
If you are having difficulties with attendance or anything, please feel free to involve me. I am here to help you and to help your activity run smoothly. I plan to visit meetings this year and to be available when you need me. My door is always open. Good luck this year. I have every confidence in your abilities.
